Quality Control for Your Content


You've just finished an insightful new article for your blog. You're anxious to publish it and find out what your readers think.

Depending on the topic and type of article you've written, it might make sense to do a little research before publishing.

Researching after writing might seem backward but it has helped me many times. Here is why I often research after writing:
  • To check that I haven't missed something really important on the topic.
  • To see what others' opinions are and whether there are points of debate I haven't addressed.
  • To make sure my information, instructions or lists are complete.
  • To develop a headline by seeing what shows up in Google searches.
Every time I research after writing, I've been glad I did. I often find ways to enhance my article and, even if I don't, it gives me confidence that I've done a good job.

Stop Saying "Feel Free"

The next time you start to type “Feel free to phone or email me” -- Stop. If you’re in business, shouldn't it be obvious that you want calls and emails? "Feel free..." is a little wishy-washy, like using the word “just” . Instead, use a more direct call to action . Assume that people will have questions, concerns or feedback. “Call or email with your questions and concerns.” “Questions? Call or email – I’ll be happy to answer them.” “Tell me what you think of this. By phone or email is fine, at your convenience.” Even better, be specific about the type of response you desire . “Call me Friday morning so I can answer your questions and we can discuss the next steps.” “Send me your questions by email so I can give you detailed answers.” Create your own unique version of this call to action , use it, make it a habit -- make it part of your brand. Online Presentation Skills of Utmost Importance

A recent iContact webinar listed "lack of presentation skills" among the top content marketing challenges . The others are no time, fear, and lack of imagination. The term "presentation skills" makes me think of PowerPoint, not online marketing. It's certainly an apt description but what does it mean specifically? Technical skills related to using software applications Technical skills related to graphic design Creativity and an eye for design Hyper-attention to detail If you don't excel at these things, you should be delegating them to someone who does... and spend your time doing what you do best. 3-Part Memos

The thing I remember most about getting email functionality at work (in 1990, I think) was that I could get rid of those 3-part memos. Some of you will remember them – usually they had ‘Memorandum’ across the top, and places to write your recipient’s name/department, your message, and their reply. They were 3 sheets with carbon paper in between - so you could keep a copy for follow-up and the recipient could write a note to return to you, keeping a copy for themselves. They even folded a certain way for interoffice mail. Yes, they were handwritten! I used the phone a lot more back then. When I wrote those 3-part memos, it was generally for two reasons: to communicate detailed info, and/or to have a record of decisions. When I think of the number of emails I get daily now, and visualize them as a stack of 3-part memos... well, it would be a big stack! A Marketing Strategy Gone Wrong

The first thing I said when he answered the phone was, "Josh, I really feel sorry for you today!" Josh is a pleasant fellow who answered the phone last Thursday when I called the Centre for Arts and Technology in Halifax. I was just a little upset. I was pretty sure that mine wasn't the first call of this sort that he had received, and it wouldn't be the last. It started when I received 17 identical promotional emails to 17 imaginary Daley Progress employees from the Centre for Arts and Technology back on April 17th. 5 Ways to Grow Your List this Summer

Your contact list doesn’t grow on its own and summer is when we all tend to slow down. Here are some practical, yet easy ways to grow your contact list over the summer months and still enjoy some time off. eMail Auto Responder When you set up your ‘out of office’ vacation notification, include a call to action and link to your newsletter sign-up form. Scheduled social media posts Set up a series of posts using Hootsuite or similar to encourage sign-ups . You can direct people to your sign-up form, to your archive, or to specific past issues that still make good reading. Review your current and prospective client list When you’re preparing for your fall sales activities, also note those that aren’t already receiving your newsletter and encourage them to sign up by sending a personal note. Loyalty isn't Instant

I've been keeping an eye on our blog because I know I’m approaching 250 articles and I want to celebrate that milestone. I've been feeling pretty good about that. I just finished reading this article in The Telegram (St. John’s, NL) about my aunt who recently passed away. Among her many other accomplishments, she wrote the Guiding column for The Telegram for 50 years (starting the year I was born). During that time, she wrote over 2000 columns! Do what Feels Right to You

photo by tempophage I had what I thought were a couple of smashing ideas for the newsletter design for a new client. She politely declined. Of course, I asked, "Why?" (I must have been a real challenge at age 4.) The discussion that ensued was insightful and interesting and helped me to understand my client's brand, image and personality so much better. Sometimes 'bad' ideas lead to great things. The lesson here? When someone you're working with throws out an idea that they're obviously excited about, don't jump on the bandwagon if it doesn't feel right. Stand up for what's authentic to you , right there, on the spot. Also, embrace the opportunity to explain your position so that everyone can get on the same page. Your Brand is more than Your Logo

I’m a visual person yet I find it hard to describe our own branding concisely: lots of white space, clean, bright spots of colour, fun but professional. If you came to me and said that, how would I design a newsletter (or website or blog) for you? Being able to describe your visual branding is important when you’re working with professionals such as designers and other consultants. How can they help you best if they don’t ‘get’ your brand? How do you describe your own visual branding? Write it out right now and be concise. Use lots of descriptive words - make up words if you have to. Can you get what’s in your head onto paper? Looking at examples is very helpful. Look at others’ websites and newsletters. Identify what you like and don’t like and put it into words on paper. Do you like curves or straight lines? Trying to Unsubscribe

We often talk about the importance of making it easy to unsubscribe. I thought I would share with you my recent experience demonstrating the frustration that can occur when it is not. I decided to unsubscribe from Air Canada's onAir newsletter several issues ago. When my issue arrived, I clicked to unsubscribe and landed on a 'No Update' error page. No big deal, the internet can be glitchy, I would just do it the next issue. This went on for 4 or 5 issues at which point, I started to feel like they were sending me to the error page on purpose. I was getting a little hot under the collar. Last week, on a bad day for me, the current issue arrived and I landed on the same error page. I then went back to the newsletter and clicked the "contact us" link which took me to a form on their website called 'Let Us Know'.
