Having prepared and sent over a thousand different newsletters, this is what I know to be true: mistakes happen. There are so many opportunities for error that I still cringe inwardly when I click 'publish'.

Home Office Holiday Party

In preparation for our office party this year, I wrote a poem. Then I gathered together the things I would need to have a party with Romeo and Danielle. (The Temptations were for Romeo, the phone for Danielle, and the coffee for me.) Romeo, my cat, is used to hearing me talk out loud as I proofread and he was unusually excited about hearing the poem. Your Goals Shape Your Content

You may have several goals you want to achieve by way of your newsletter (substitute website, blog and/or social media as it applies to you). Probably you want to increase sales. Here are some other possible related goals: 'Touching' your customers, prospects and colleagues on a regular basis Building strong business relationships Developing your reputation and sphere of influence Sharing your valuable information, products, and services Being seen as an expert Growing your fans, followers and blog readership Keeping up with your competition These all may well be good reasons to have a newsletter. The ones that are most important for you will depend on what type of business you have, how long you’ve been in business, what your competitive situation is, and more. Let's Play like Adults

Yesterday I politely wrote asking to be removed from a mailing list after receiving a promotional email that was ugly, far from CASL-compliant, and for products I’m not interested in. I even included links to CASL info in an effort to help. I received this response a few moments later: “Please do the same for me.” This childish reaction came from an older man who had attended a free email marketing training I put on last spring at the request of the Halifax Chamber of Commerce. He sells products to my target market. Do you think I’m ever likely to recommend him to anyone now? Email marketing isn't a game, it’s a business strategy. I firmly believe we should unsubscribe from mailings that aren't of interest to us. I read many newsletters from people who don’t read mine. It’s not a “tit for tat” thing. Automate to Boost Productivity

Aside from your traditional newsletters and promotional messages, you can also use your bulk email application to automate some other processes. You might not think of iContact (or whatever app you use) as a productivity tool, but it can be. Here are a couple of examples. Patient/client reminders You’re familiar with those postcards we get in the mail reminding us it’s time to book our appointment with the dentist, or optometrist, or pedorthist. If that is a standard practice for your business, consider sending these reminders by email, automated to go at appropriate intervals. One of our clients claimed this is saved her money every month. Certificates If you use a mail merge to create certificates in Word for course attendees, you can do the same in iContact and send them out by email at the same time. Stop Saying "Feel Free"

The next time you start to type “Feel free to phone or email me” -- Stop. If you’re in business, shouldn't it be obvious that you want calls and emails? "Feel free..." is a little wishy-washy, like using the word “just” . Instead, use a more direct call to action . Assume that people will have questions, concerns or feedback. “Call or email with your questions and concerns.” “Questions? Call or email – I’ll be happy to answer them.” “Tell me what you think of this. By phone or email is fine, at your convenience.” Even better, be specific about the type of response you desire . “Call me Friday morning so I can answer your questions and we can discuss the next steps.” “Send me your questions by email so I can give you detailed answers.” Create your own unique version of this call to action , use it, make it a habit -- make it part of your brand. Idea Challenged? Here are 3 Tools

We can all get writer's block. I've found 3 tools that help me get past it. I may not use the exact suggestions that result, but the suggestions trigger more ideas and before long I'm off and writing. Hubspot's Blog Topic Generator Fill in the fields with terms (preferably nouns) that you'd like to write about, and you'll get a week's worth of relevant blog post titles in a matter of seconds! Imagination Prompt Generator A prompt appears and you can click the button to generate another. Keep going till you find one that speaks to you, then start writing. 420 Fables Freewrite. Choose a subject and write continuously for a set period of time. Disregard spelling, punctuation and grammar. 420 Fables gives you a time limit and a place to write. Is your Sign-up Form CASL Compliant?

You already know about the identification requirements that need to be in the footer of commercial electronic messages (CEMs) to be compliant with CASL : name, mailing address, plus either phone # or email address. Do you know that this information must also be near, or "easily accessible" from, your sign-up form if you want to gain express consent? Take a moment and check your website to see if this contact information is there. Perhaps you have a contact page with this info on it, or have it in your page footer - that's good. You might also put it on your redirect page if you have one. (That's your web page where a new subscriber ends up after clicking 'sign up'.) Also note: "An individual must take action to opt-in to a stated purpose ." Is there a description of what people are signing up for? Are you Easy to Find? Use Linked In to Improve Search Results.

I should be able to find anyone online these days.  I often search for specific people or company names to get product or contact information.  Sometimes it's fast and sometimes it's very frustrating.  Three times in the past week I failed to find websites (that I knew existed) for local companies.  What business owner doesn't want to be found? If you search my name on Google , the second entry is my Linked In profile . This leads people to a wealth of information about me and my company, including my phone number, website and blog - even if they aren't on Linked In themselves. Take advantage of this prime search ranking!  Complete your Linked In profile.  The more complete and compelling your profile is, the more people will take it seriously and visit links you have posted. Who's the Master of Your Domain?

What if you woke up this morning to discover your domain name has... disappeared? Likely you would make this discovery because your website is down, or perhaps your email isn't working. Or what if you are contracting for a new website and have no idea how to wrangle your domain name for your new website designer? Recently a client I haven't worked with for several years wrote to ask if I knew the whereabouts of their domain. I get it, not everyone is a control freak like me. But every small business owner needs to have control of their unique business domain name. If you aren't sure where your domain is registered, or under whose name, you can find that out here:  whois.icann.org/en  (or if it's a .ca domain, cira.ca/ca-domains/whois ). If your domain has private registration, you may not be able to view the name of the registered owner.
